Job Summary:

The Dean's Office in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Medical Education Clerkship Coordinator / Senior Staff Assistant. The successful candidate will:
- Provide general administrative support to the Clerkship Director.
- Work with Clerkship Director to coordinate student placement at Primary Care/Family Medicine clinics and associated PC/Family Medicine community, physicians.
- Create clinical/didactic schedules and upload them into Learning Management Systems, such as New Innovations/Blackboard/Desire to Learn or LEO.
- Update learning resources and orientation materials in Leo/Blackboard/Desire to Learn.
- Communicate exam, orientation, summation and survey information to students.
- Coordinate - Lectures, Team Base Learning, clinical rotation, exams and all activities for Clerkship.
- Record and tracks student attendance, procedure logging certifications and survey completion.
- Copy, administer, proctor and grade exams; arrange make-up exam times as needed.
- Reserve rooms for all didactic lectures.
- Coordinate educational activities including reserving rooms, ordering food, etc.
- Prepare and send didactic lecture schedule to lecturers and students.
- Prepare attendance sheets for didactic lectures and set up rooms (projector, etc.) or set up Zoom.
- Update Leo/Blackboard as necessary - lectures, TBL and other in-person, online synchronous and asynchronous activities.
- Manage records in New Innovations/Blackboard for all students in each rotation; ensure student match assignments are accurate in the composite evaluation before Clerkship Director assigns the final grade.
- Track all PAP - Professional and Administrative Preparedness of students.
- Call on sites regarding outstanding evaluations and send reminders via New Innovations/Blackboard.
- Check onboarding status for 3rd/4th-year electives.
- Work on special projects for the Course Director and Administrator for Clinical Years Curriculum and processes.
- Perform additional duties as assigned.
