Job Summary:

The Department of Rehabilitation Medicine at SUNY Downstate Health Sciences University is seeking a full-time Residency Program Coordinator / TH Staff Assistant 1. The successful candidate will:

  • Perform division-level administrative support, liaison, office coordination, lead direction, word processing and file maintenance duties (residents, staff and faculty) while working directly under the guidance of the Program Director.
  • Assist in the coordination of activities related to recruitment of new residents.
  • Oversees the following electronics databases -ACGME, NRMP, ERAS, New Innovations and other Graduate Medical Education databases are required.
  • Coordinate the educational functions of the Physical Medicine & Rehabilitation Residency Program, including the timely dissemination of information and documentation, which is necessary for the efficient operation of the training program.
  • Coordinate program director/resident semi-annual and final meetings, ACGME site visit preparation activities, IPRO site visits, and conference and other educational travel arrangements.
  • Prepare and submit educational grants.
  • Coordinate all graduation function and activities.
  • Submit GME documents (payroll rosters, appointment and termination forms etc.) in a timely manner.
  • Assist in the management of IFR accounts.
  • Prepare resident training verifications.
  • Assist in the preparation of daily, weekly, monthly, and annual reports relating to the Graduate Medical Education.
  • Assist in all aspects of the department's Continuing Medical Education activities, such as Grand Rounds.
  • Assist in the administration of the residency program and department operation, such as ensuring adherences to university policies and procedures, ACGME' and DOH guidelines, and regulations.
  • Assist in the development and implementation of daily schedules, monthly calendars, call schedules; and early rotation schedules; and early rotation schedules
  • Schedules and coordinates meetings and conference room use.
  • Order food, reserves space, sends notifications, and takes and distributes meeting minutes.
  • Perform other job related work as assigned and/or as business needs require.
  • Be a team plater and a role model for other staff members.

Required Qualifications:

  • College degree required;
    • or, supplemented with two (2) years of relevant work experience, ideally in an academic medicine setting.
  • Strong interpersonal and communication skills.
  • Excellent organizational skills. Able to work independently on concurrent projects and effectively prioritize needs.

Monday to Friday; 8:00am to 4:00pm

Commensurate with experience and qualifications
