Job Summary:

The Department of Emergency Medicine at SUNY Downstate Health Sciences University is seeking a full-time Pediatric Program Coordinator.

As the Emergency Medicine Program Coordinator for PEM, the successful candidate will be pivotal in administering and coordinating our Emergency Medicine Residency Program. The Coordinator will oversee all aspects of the fellowship program, ensure compliance with accreditation standards, and support fellows and faculty members.

Key Responsibilities Include:

Program Administration

  • Oversee the day-to-day operations of the emergency medicine residency program.
  • Implement policies and procedures to ensure compliance with the Accreditation Council for Graduate Medical Education {ACGME) accreditation standards.
  • Coordinate recruitment activities, including scheduling interviews, coordinating candidate visits, and managing the Match process.
  • Maintain accurate and up-to-date resident records, including duty hours, evaluations. and academic progress.

Administrative Support

  • Serve as the primary point of contact for fellows. addressing their needs and concerns promptly and effectively.
  • Coordinate orientation activities and provide ongoing support throughout their training.
  • Complete requisitions for any approved spending relating to activities, i.e., orientation, required training, graduation, and other events.
  • Responsible for interview season tasks.
  • Complement non-renewal letters/JI Visa forms.
  • Complete Long forms for GME for the fellowship program.
  • Manage the in1port process of the rank list from Thalamus.
  • Manage the annual diversity dinner for residents.
  • Oversee the logistics of In-service exams.
  • Ensure Residents and Faculty complete the ACGME survey.
  • Responsible for a welcoming process for Match Day, including welcome emails and phone calls.
  • Update PLAs.
  • Organize educational conferences, workshops, and other learning activities for residents.
  • Complete conference packages with all required documents and submit them to the Department Administrator.
  • Post conferences: collect all receipts and submit them to an administrator for reimbursement processing.

Program Evaluation and Improvement

  • Participate in program evaluation activities, including surveys, focus groups, and quality improvement initiatives.
  • Ensure the completion of the ACGME survey.

Perform additional duties as requested by the Program Director and Department Administrator as business need warrants. 

Required Qualifications:

  • Prior work experience in an administrative role, preferably within a healthcare or educational setting. 
  • Excellent organizational skills and the ability to prioritize tasks.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and experience with residency management software.
  • Ability to handle sensitive information with discretion and confidentiality. 
  • Flexibility to adapt to changing priorities and deadlines. 

Preferred Qualifications:

  • Bachelor's Degree in Education, Healthcare Administration, Business, or a related field.

Variable Days; Variable Hours (Full-Time)

SL-2

Commensurate with experience and qualifications
