Job Description:

The Department of Finance at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant, Residential Life & Services. The successful candidate will:

  • Use computer including word processing programs, database applications, desktop publishing, handles filing, office correspondence, reports, and memos; administers daily office systems.
  • Supervise and schedule Student Assistants and Federal Work-Study staff for the office.
  • Prepare of appropriate documents pertaining to hiring and termination for submission to Human Resources.
  • Assists in coordinating, opening and closing special events and summer conferences and/or summer housing procedures.
  • Track building occupancy (including transient housing) billing, using Banner; generate and report occupancy weekly (i.e. occupancy and vacancy reports).
  • Oversee the mall distribution process for residents and the office, ensuring the effectiveness and accuracy of the mail and parcel services.
  • Complete monthly inventory of all office supplies and borrowed items; prepare and submit purchase requisitions for replacement of supplies.
  • Within a twenty-four-hour period, complete administrative assignments as requested by Director including typing memos, taking and typing meeting minutes and generate reports related to all departmental operations.
Required Qualifications:
  • Bachelor's Degree.
  • 2+ years of administrative, customer service and service recovery experience.
  • Or a satisfactory equivalent combination of experience, training and education to the above.

Monday to Friday; 8:30am to 4:40pm (Full-Time)

SL-2

Commensurate with experience and qualifications
