Job Summary:

The Department of Orthopaedic Surgery and Rehabilitation Medicine at SUNY Downstate Health Sciences University is seeking a part-time TH Staff Assistant 2. The successful candidate will:

  • Provide administrative support for the department. Liaise with physicians and support practice growth.
  • Support patient care clerical and administrative activities, while trying to optimize the patient experience across the care continuum.
  • Coordinate clerical work activities by determining appropriate work priorities and methods.
  • Receive inquiries and complaints and follow-up by coordinating with others as necessary to obtain the required information, which can include composing appropriate written responses.
  • Search files, gather facts, and compile a variety of data required for preparation of reports.
  • Act as liaison to expedite the flow of information.
  • Schedule and coordinate meetings and other work-related activities.
  • Receive calls, relay information to appropriate parties, and follow-up where necessary and appropriate.
  • Open, sort, and distribute mail and correspondence.
  • Coordinate activities to ensure timely submissions of documents or information that may be required of several staff personnel to complete a major project.
  • Type drafts and finish a variety of documents from written or verbal instruction, including correspondence, reports, and other materials that are sensitive, complex, or technical in nature.
  • Prepare reports where the information may be gathered from several sources or may be difficult to organize and compile. Search records and provide factual data from information on file.
  • Take dictation, which may include minutes of meetings, and transcribe notes into finished documents.
  • Compose a variety of letters, memoranda, instructions, and other documents on own initiative, from brief notes, and/or from verbal instruction.
  • For relief purposes, may be assigned clerical or secretarial activities of other personnel.
  • Perform other work as assigned.

Required Qualifications:

  • Bachelor's Degree
    • Or, Associate's Degree with 2-years of relevant work experience in an administrative support capacity.
  • Strong interpersonal communication skills.
  • Excellent written and oral communication skills.
  • Adept at multi-tasking.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Familiarity with EHR and registration programs a plus. 
  • Or, a satisfactory equivalent combination of experience, education and training to the above.

Monday to Friday; 7:30am to 4:00pm (Part-Time)

Commensurate with experience and qualifications
