Job Summary:

The Department of Admissions in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Associate Director of Student Admissions. The successful candidate will:

  • Effectively assist with the management of the operational, administrative, and personnel aspects of the Office of the Admissions.
  • Act as the Director, in the absence of the Director.
  • Supervise and assist with the admissions process and the timely processing of applications, which includes:
    • primary responsibility for the timely processing of applications for the College of Medicine
    • recommending improvements in the admissions process and procedures
    • explaining and interpreting admissions policies and procedures to students, parents, faculty, and other interested parties
    • assisting with the annual reviews of the policy & procedure, recruitment materials, student
    • information system, applications, web edits, and forms used in the admissions and interview process
    • monitor the interview process for faculty and applicants
    • responses to admissions inquiries (telephone, in person, and written);
    • pre- and post-admissions advisement to applicants;
    • coordinate faculty and peer-to-peer training sessions for recruitment and interview cycle
    • supporting the Admissions Committee review process
    • develop and monitor statistical reports to enhance recruitment strategies, yield management, forecasting, and operational efficiency.
  • Assist with planning and implementation of recruitment activities and projects, including:
    • Primary responsibility for the preparation of a recruitment schedule of on and off-campus visitations
    • Speaking to various groups about the College of Medicine and it’s pipeline programs
    • Initiation of new recruitment and marketing strategies
    • Assists with the development and implementation of recruitment activities and programs for
    • underrepresented students.
    • Travel on behalf of the colleges for recruitment and other college-related events
    • Liaison from the Student Admissions Office to the Admissions Committee meetings for the College of Nursing, School of Health Professions and School of Public Health; assists with Admissions Committee meetings for the College of Medicine as needed
    • Assists with the timely completion of surveys and reports from outside agencies; assists with required state and other reports.
  • Participates as a member of the Division of Student Affairs and assist in the effective operation of the Division; participates in Registration, Orientation, Graduation, and similar academic/student services functions; develops a general knowledge and understanding of the other student support areas (e.g. Financial Aid, Registrar, Bursar, etc.)
  • Performs other duties as required by the Director of Student Admissions and/or the Vice President of Student Affairs

Required Qualifications:

  • Bachelor’s Degree.
  • 5+ years of administrative experience in college of medicine admissions setting (or related experience).
  • Excellent written and oral communication skills required.
  • Strong supervisory skills with AMCAS and interview scheduling a must.
  • Computer literacy and familiarity with a student information system a must.

Preferred Qualifications:

  • Master’s Degree preferred.
  • Familiarity with the AMCAS, SUNY, AMP system and colleges, Banner student information system, student recruitment, the role of the admissions office in the Division of Student Services is desired.

Variable Days; 9:00am to 5:00pm
