Job Summary:

The Department of Infection Control and Regulatory Affairs at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Assistant. Under the direct supervision of the Directors of Infection Control and Regulatory Affairs, the ideal candidate will perform the following duties:

Infection Control

  • Assist with collecting and submitting denominator data on a monthly basis to NHSN.
  • Assist with managing and updating infection control policies and procedures.
  • Troubleshoot issues, comments, complaints, regarding Biovigil utilization and functioning, including distribution of badges, weekly reporting of hand hygiene reports.

 Preparation for Regulatory and Accreditation Surveys

  • Assist with the development of the survey agenda.
  • Distribute agenda to appropriate personnel.
  • Make transportation arrangements and obtain locations for survey activities.
  • Type report findings from mock survey/actual survey activities.
  • Follow up on corrective action plans when needed.
  • Assemble Statements of Deficiencies and corresponding Corrective Action Plans.
  • Arrange survey preparation meetings.
  • Prepare binders for survey documents.

Coordination of Infection Control/Regulatory Affairs Meetings

  • Develop meeting schedules.
  • Arrange meetings as needed.
  • Notify committee members of meeting schedule.
  • Take minutes of the meeting and develop draft agenda.
  • Distribute minutes to committee members.
  • Follow up on agenda items with committee members.
  • Maintain copies of minutes and reports submitted by committee members.

Serve as the Office Manager and receptionist for both directors

  • Position involves frequent interaction with other administrative staff, department heads and staff as required.
  • Answer office phones and arrange meetings for department directors and staff.
  • Responsible for organizing, managing, and maintaining daily calendars and long-range, schedules, for both directors.
  • Identify support needs and prepare requisitions for central stores and purchasing.
  • Obtain approval signatures and follow up to ensure that all supplies have been received.
  • Follow up on incoming and outgoing correspondence (verbal and written) for the department.
  • Facilitate equipment maintenance and repairs and the available availability of adequate levels of office supplies.

Other duties as assigned

  • Perform special projects and assignments as requested by the hospital epidemiologist and infection control program director.
    • This may include obtaining information from various hospital departments outside agencies or other health care institutions as well as ensuring the execution of library searches for the review of subject-specific literature.
  • Assist with collecting and submitting denominator data on a monthly basis to NHSN.
  • Troubleshoot issues, comments, complaints, regarding Biovigil utilization and functioning, including distribution of badges, weekly reporting of hand hygiene reports.
  • Assemble Statements of Deficiencies and corresponding Corrective Action Plans.

Required Qualifications:

  • Bachelor’s Degree or will obtain Bachelor’s Degree within 1 year of employment.
  • 3+ years of experience in an administrative capacity, preferably in a healthcare setting.
  • Ability to work independently, take appropriate initiative as needed and follow directions.
  • Strong interpersonal communication skill.
  • Excellent written and oral communication skill.
  • Experience in office outlook, database management and Microsoft office Suite (Excel, Word, Power point, Visio, Teams).

Work Schedule:

Monday to Friday; 8:30am to 4:30pm

Salary Grade/Rank:

SL-3

Salary Range:

Commensurate with experience and qualifications
