Job Summary:

The Department of University Police and Public Safety at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The successful candidate will:

  • Provide administrative assistance to the department’s senior administration and all units within the department.
  • Screen and prioritize incoming calls, assisting callers or redirecting calls as necessary.
  • Assist with maintaining calendar of appointments for the Chief of Police.
  • Greet visitors; assess requests and resolve or refer to appropriate staff member(s).
  • Assist with the preparation and tracking of department requisitions.
  • Coordinate and perform a range of staff and/or operational support activities for the department as assigned.
  • Assist with the preparation of materials and submission of reports to the Department of Criminal Justice for Department Annual Security Guard Training.
  • Sort and distribute mail.
  • Maintain effective filing system for all department personnel, including JCAHO files.
  • As requested, assist with employment related needs such as personnel transactions, interview scheduling, verification of and maintaining updated licensing records.
  • Assist with the daily preparation of bi-weekly employee time sheets.
  • Assist with the preparation and submission of bi-weekly employee overtime and meal money reports.
  • Assist with the preparation of annual performance programs and evaluation forms.
  • Assist University Police Staff with administrative requests.
  • Assist with the day to day clerical duties for all units within the University Police Department.
  • Assist with all areas of campus parking falling under the University Police Department.
  • Maintain the database of all persons assigned to campus parking facilities.
  • Assist with maintaining an accurate and updated waiting list for parking assignments, the issuance of parking access fast passes and stickers to parking lot users.
  • Assist with managing special parking requests, VIP parking, reserved parking and parking for those with special needs.
  • Act as a liaison to students, faculty and staff regarding parking related questions.
  • As required, assist in the University Police ID Office.
  • Assist with University Police responsibilities at special events, including various orientations.
  • Additional duties may be required as necessary.

Required Qualifications:

  • Excellent interpersonal, communication and organizational skills. 
  • Must be proficient in Microsoft Office Suite. 
  • Must be able to handle confidential information with discretion. 
  • Experience working with multi-shift employee time sheets and payroll processing.
  • Strong attention to detail is a must. 

Preferred Qualifications:

  • Prior administrative experience working within a police/security department in an academic or healthcare environment.

Work Schedule:

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-2

Commensurate with experience and qualifications
