Job Summary:

The Department of Dermatology at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Assistant / Residency Coordinator. The successful candidate will:

  • Coordinate the daily operations and logistics tor the program.
  • Update program databases in New Innovations, ACGME, NRMP, ERAS and other Graduate Medical Education databases as required.
  • Scheduling and monitoring visiting-3rd and 4th year medical students for elective rotation through the American Association of Medical Colleges and Visiting Students Application Services (AAMC & VSAS).
  • Coordinate elective rotations for PA students and internal medicine residents.
  • Coordinate Grand Rounds to Include scheduling speakers, arranging speaker's accommodations and coordinating Grand Rounds presentation.
  • Serve as liaison with other departments (GME, Affiliations, Registrar) and affiliated institutions regarding internal and external rotating medical students and residents.
  • Prepares for Internal Review of the program as directed by the GME office.
  • Schedule and maintain residency committee meeting minutes.
  • Coordinate communication between applicants and program via e-mall, telephone and written correspondence.
  • Coordinate all aspects of the resident/fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments and ensuring applicant credentials follow current guidelines. Orchestrate ZOOM interviews for applicants and faculty during
  • interview season. Prepare rank order list for selection committee.
  • Assist in creating yearly rotation schedule for residents and fellows.
  • Maintain and update credentialing records/curriculum vitaes of core faculty on ACGME site.
  • Maintain knowledge of current medical licensure requirements, Immigration policies, ACGME and ERAS accreditation and institutional requirements.
  • Answer phone Inquiries from patient& seeking appointments at University Hospital of Brooklyn and affiliates.

Required Qualifications:

  • Bachelor's Degree.
  • 2+ years of administrative experience in a related field or equivalent education, training, and experience.
  • Computer proficiency in Microsoft Word, Excel, Power Point, New Innovations.

Monday to Friday; 9:00am to 5:00pm (Full-Time)

Commensurate with experience and qualifications
