Job Summary:

The Department of Emergency Medicine at SUNY Downstate Health Sciences University is seeking a full-time TH Senior Staff Assistant / Faculty & Staff Coordinator. The successful candidate will:

  • Prepare and process department requisitions.
  • Assist the Administrator with personnel documentation for HR and Finance.
  • Submit and follow up on travel approvals, vouchers, reimbursements, and credit card statements.
  • Manage submission of extra-service and hourly vouchers.
  • Perform copying, filing, data entry, and follow-up of all assigned tasks.
  • Obtain faculty signatures for required documents.
  • Communicate incomplete charts to faculty and follow up to ensure completion.
  • Coordinate monthly meetings, including preparing agendas and sending invitations and reminders.
  • Enter faculty and PA schedules into Amion.
  • Support the Administrator with onboarding new hires and re-credentialing faculty.
  • Maintain up-to-date faculty personnel information in the Dr. Staff Database.
  • Assist in updating the LCME roster and completing faculty evaluations for the College of Medicine (COM).
  • Gather and compile data for OPPE evaluations.
  • Record attendance at monthly faculty meetings in the database.
  • Organize and document minutes for Faculty Meetings, Performance Improvement Meetings, and other meetings as requested.
  • Assemble dashboards and reports into slide presentations for monthly Performance Improvement Meetings.
  • Coordinate faculty and staff interviews with department leadership and candidates.
  • Prepare, submit, and track packages for initial voluntary appointments and renewal of voluntary appointments.
  • Schedule meetings as needed, ensuring availability of all participants and timely communication of meeting details.

Required Qualifications:

  • Bachelor's Degree in Administration, Business or other related field.
  • Prior experience in ad administrative role, preferably within a healthcare setting.
  • Excellent organizational skills and the ability to prioritize tasks.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Flexibility to adapt to changing priorities and deadlines.
  • Or, a satisfactory equivalent combination of experience, education and training to the above.

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-3

Commensurate with experience and qualifications
